What if my organization is not listed in 25Live?

  • If your organization isn’t listed in 25Live, please pause your request and reach out to an OSE advisor for assistance.

 

What do the event statuses “Tentative,” “Confirmed,” and “Denied” mean?

  • Tentative: Your request is still in the queue and has not yet been processed.
  • Confirmed: Your request has been processed, and a room has been assigned. You can find confirmation instructions in your Cardinal Engage event chat.
  • Denied: Unfortunately, your request couldn’t be confirmed for one of the listed reasons.

 

Why has my request been denied?

Some common reasons why requests are denied are listed below; however, reasons for denial are not limited to these.

  • The request included activities or items that violate the university’s classroom use policy.
  • No rooms matching the specified event details were available. We recommend providing alternate dates, times and secondary location preferences when submitting your request.
  • The request did not adhere to the submission timeline.
  • The request is for an event occurring in the End-Quarter period.

 

What do I do if the assigned classroom is locked?

  • Check the arrival time: If the room is on 25Live/Lenel integration, doors will only unlock 15 minutes before the scheduled time.
  • Check all the doors: Some classrooms may have multiple entrances, so try them all.
  • For classroom lockouts: Call 650-723-2281 for assistance. Be prepared to provide the following information: Event reference number, Event title as shown on 25Live, Event time.

     

How do I edit or cancel my request?

Modification should only occur in an absolute emergency. Make sure your request date and time are final before submitting the request. If changes are necessary, please contact an OSE advisor.

  1. Email: Send an edit/cancellation request to studentengagement@stanford.edu
  2. CC: reg-events@stanford.edu
  3. Include the following information: Event title as shown in 25Live, organization name, and event reference number.

     

Where can I set up food and drink?

  • They are not allowed. Food and beverages besides water are strictly prohibited in all Registrar-scheduled classrooms.

 

Do I need to submit a work order? If so, how?
